How to prepare a complete equipment RFQ

The detail you provide at the request stage determines how quickly a quotation can be produced and how accurate it will be.

Start with the outcome, not the model number

Describing the work the machine must do — hectares, tonnage, lift height, duty cycle — allows a sourcing team to consider several equivalent machines rather than a single listing that may already be gone.

Where a specific make and model is required, say so explicitly and note whether close alternatives are acceptable.

Give identifying references where they exist

Part numbers, engine serial numbers, arrangement or CPL numbers, machine serial plates and VINs remove ambiguity from a parts request.

A clear photograph of the plate or the failed component is often faster than a written description.

State the commercial boundaries

Condition acceptance (new, used, reconditioned), quantity, budget range and currency, destination state and city, and whether the deadline is fixed or flexible all shape which sources can be approached.

Timelines, documentation and payment terms are confirmed per quotation.
